Booking a live band is one of the most impactful decisions you’ll make for an event – and one of the most complicated if you haven’t done it before. Here’s exactly how it works.
Step 1 – Know Your Budget Before You Start
Live band pricing varies enormously. Before you reach out to anyone, have a realistic range in mind. Knowing your budget upfront saves everyone time and helps us match you with the right act immediately.
Step 2 – Know Your Audience and the Vibe You’re Going For
The best band for a 30-year-old tech company crowd is not the same band for a 60-year-old country club crowd. Think about: What music does your audience love? Do you want background ambiance or a dance floor? Is the event formal, casual, or somewhere in between?
Step 3 – Book Through an Agency (Here’s Why)
You can find bands on your own through platforms like GigSalad or word of mouth – but booking through a reputable agency has significant advantages:
- The acts are pre-vetted for reliability, professionalism, and sound quality
- Contracts and technical riders are handled properly
- You have an advocate if anything goes wrong
- Agents know which acts are right for which rooms – they’ll steer you away from mismatches
Step 4 – Confirm the Practical Details
Before signing anything, confirm: the exact date, set times and breaks, stage and PA requirements, what the band wears, load-in and sound check schedule, and what happens if a band member has an emergency.
Step 5 – Sign a Contract and Pay a Deposit
A legitimate booking always involves a written contract. Standard deposits are 50% of the total fee, with the balance due one month before the event date. Never book a band without a contract.
Step 6 – Communicate the Day-of Logistics
A few weeks before the event, your agent will reach out for the venue’s load-in details, parking information, contact number for the venue’s AV or facilities person, and the final program timeline.
